How the MonetrixOS sheet is put together, module by module — and what to do when something does not add up.
Quick start
MonetrixOS is a single Google Sheets file. Nothing is installed and no external account is created — the whole system runs inside your own document.
- Copy the template. Open the link from your purchase email and choose File → Make a copy. The copy belongs to you.
- Authorise the script. The first time you open the Extensions → MonetrixOS menu, Google asks for permission. This grants the script access to this sheet only.
- Open Settings. Set your base currency, language, first day of the week and the month your financial year starts.
- Add your accounts. On the
Accountstab, list each account with its currency and today's balance. - Record your first transaction. Either type a row on the
Transactionstab or use + Add transaction in the sidebar.
Tip. Do not backfill a year of history on day one. Start with today's balances and record forward — you will have useful reports within a month, and you will not abandon the habit in week two.
Sheet structure
Tabs fall into three groups. You type into the data tabs; the others are generated and should be left alone.
| Tab | Type | What it holds |
|---|---|---|
| Dashboard | Generated | Net worth, budget alerts, cash flow, goal progress |
| Transactions | Data | Every income and expense row |
| Transfers | Data | Movements between your own accounts |
| Accounts | Data | Account name, type, currency, opening balance |
| Budgets | Data | Monthly cap per category |
| Goals | Data | Savings targets and linked accounts |
| Loans | Data | Debts owed and owing, with schedules |
| Recurring | Data | Scheduled transactions |
| Categories | Config | Category list and grouping |
| Members | Config | Household members (Household plan) |
| Rates | Generated | Exchange rates pulled by the script |
| Reports | Generated | Analytics tables behind the charts |
Do not insert columns into generated tabs. Formulas reference columns by position; a new column shifts them and the dashboard breaks. Add your own analysis on a new tab instead.
Settings & language
Open Extensions → MonetrixOS → Settings. Interface language can be set to English, French, Arabic or Spanish, and applies to sheet labels, sidebar text and chart titles. Arabic switches the sidebar to a right-to-left layout.
Base currency EUR # everything rolls up into this
Language fr # en | fr | ar | es

Rate source Google Finance
Changing the base currency re-converts historical figures using the rate stored with each transaction, so past months do not silently change value.
Accounts
An account is anywhere money sits: cash, a current account, savings, an investment pot, or a credit card. Each one has its own currency.
- Name — how it appears everywhere else. Keep it short.
- Type — Cash, Checking, Savings, Investment or Credit.
- Currency — a three-letter code such as
USD. - Opening balance — the balance on the day you start.
Credit cards are held as negative balances, so a card you owe on reduces your net worth rather than inflating it.
Transactions
One row per movement of money in or out of your household. Expenses are negative, income positive.
| Column | Required | Notes |
|---|---|---|
| Date | Yes | Defaults to today in the sidebar |
| Description | Yes | Free text, e.g. “Weekly groceries” |
| Category | Yes | Picked from the Categories tab |
| Account | Yes | Which account it hit |
| Amount | Yes | In the account's own currency |
| Member | No | Household plan only |
| Note | No | Receipt number, context, anything |
Transfers
Moving €500 from checking to savings is not spending. Record it on the
Transfers tab, which debits one account and credits the other in a
single row, and is excluded from every spending report.
Cross-currency transfers. Enter the amount that left the source account and the amount that arrived. MonetrixOS derives the effective rate, including whatever fee your bank took.
Categories
Categories drive budgets and every spending chart. The template ships with a sensible default set grouped into Essentials, Lifestyle, Financial and Income.
Add your own by appending a row to Categories — dropdowns across the
workbook pick it up immediately. Renaming a category updates existing rows;
deleting one leaves those rows uncategorised, so retire rather than delete.
Budgets
Set a monthly cap per category. The dashboard shows spend against cap and raises an alert at 90% and again when you cross 100%.
Category Monthly cap Rolls over
Groceries EUR 600 No
Living expenses EUR 1,200 No
Holiday fund EUR 250 Yes
Categories marked rolls over carry any unspent amount into the next month, which suits irregular costs like car maintenance.
Goals
A goal has a name, a target amount, a target date and a linked account. Contributions are ordinary transfers tagged with the goal code, so the money is only counted once.
The dashboard shows percentage complete, amount remaining, and whether your current contribution rate reaches the target by the date you set.
Loans & lenders
Two directions are supported: money you owe (a car loan, a mortgage) and money owed to you (a loan to a family member). Each has a principal, a rate, a term and a payment schedule.
Repayments are recorded as transactions linked to the loan. MonetrixOS splits each into interest and principal, so the remaining balance is accurate rather than a straight-line estimate.
Recurring items
Rent, subscriptions, salary and standing orders go on the Recurring
tab with a frequency (weekly, monthly, quarterly, yearly) and an optional end date.
Choose one of two behaviours per item:
- Auto-post — the script writes the transaction on the due date.
- Remind — the item shows as pending on the dashboard and you confirm it, which suits bills whose amount varies.
Mobile sidebar
Open the Google Sheets app on your phone, tap the ⋮ menu, and launch MonetrixOS. The sidebar gives you the parts you need on the move:
- Home — net worth, spent this month, budget alerts, cash flow.
- Ledger — recent transactions and + Add transaction.
- Movements — transfers in and out, and + Add transfer.
- More — analytics, loans, recurring, budgets, goals, accounts, members, lenders, categories and settings.
Editing long lists. The sidebar is built for adding records quickly. To bulk-edit, tap View in sheet and work in the tab itself.
Multi-currency
Each account holds one currency; the workbook rolls everything up into your base currency. Rates come from Google Finance and refresh once a day.
The rate in force on the transaction date is stored with the row. Historical months therefore stay stable — today's rate move does not rewrite last March.
Rates showing #N/A? Google Finance occasionally
fails to return a pair. Run Extensions → MonetrixOS → Refresh rates, or
enter a manual rate on the Rates tab, which takes precedence.
Reports
The Reports tab and the Analytics screen cover:
- Cash flow over the last 12 months
- Spending by category, month or quarter
- Income versus expenses, month over month
- Net-worth history since your start date
- Per-member spending (Household plan)
Every chart reads from a plain table on the Reports tab. Copy a table onto a new sheet to build your own chart without disturbing the originals.
Importing data
To bring in history from a bank export or another tracker, use Extensions → MonetrixOS → Import CSV and map your columns to these:
date, description, category, account, amount, member, note
The importer validates every row before writing. Rows with an unknown account or category are listed for correction rather than silently dropped.
Troubleshooting
The dashboard shows stale numbers
Google Sheets caches script results. Run Extensions → MonetrixOS → Recalculate, or press Ctrl + R to reload the file.
Net worth looks wrong
Usually one of three things: a transfer entered as two transactions (double counted), a credit-card balance entered positive, or an account missing its opening balance. The Balance check block at the bottom of the Accounts tab points to the culprit.
The sidebar will not open on mobile
Sidebars need the Google Sheets app, not a mobile browser tab. Check that the app is current and that you opened your own copy rather than the read-only master.
“Script is not authorised”
Re-run any MonetrixOS menu item and accept the permission dialog. The warning about an unverified app is expected for Apps Script distributed as a template; the script can only touch the sheet it lives in.
